The Department of Medicine, Division of Endocrinology and Rheumatology, is seeking an experienced Sr. Grants and Contracts Administrator to work collaboratively with faculty and researchers as part of a team. The successful candidate must possess a comprehensive understanding of grants and contracts administration and provide comprehensive services, including pre-award assistance, post-award administration, and other ancillary non-funded research services. This work involves collecting required data to prepare grant applications, renewals, reports and prepare budget-specific sponsor guidelines. This position will advise faculty on long-term financial viability given multiple grants and contracts with differing project end dates from various sources, manage complex proposals and awards, interpret guidelines, terms, and conditions, and provide advice accordingly.

This position offers a flexible hybrid workplace, providing a balance of in-person and remote; in some instances, 100% remote work will be considered.

The Department of Medicine, Division of Endocrinology and Rheumatology, at the University of Virginia's School of Medicine is seeking candidates for a Senior Grants and Contracts Administrator to work collaboratively with faculty and researchers as part of a team. Senior Grants and Contracts Administrators possess a comprehensive understanding of grants and contracts administration. They may function in a central unit, school, department, division, institute, or center. They advise faculty on long-term financial viability of a department or center given multiple grants and contracts from various sources with differing project end dates. They locate and identify sources of outside funding. They manage all aspects of the development of complex proposals and awards. Senior Grants and Contracts Administrators interpret guidelines, terms, and conditions, and provide advice accordingly. They submit and serve as signature authority for electronic proposals, and resolve issues to ensure timely and accurate delivery of information.

The successful candidate must possess a comprehensive understanding of grants and contracts administration and provide comprehensive services, including pre-award assistance, post-award administration, and other ancillary non-funded research services. This work involves collecting required data to prepare grant applications, renewals, reports and prepare budget-specific sponsor guidelines. This position will advise faculty on long-term financial viability given multiple grants and contracts with differing project end dates from various sources, manage complex proposals and awards, interpret guidelines, terms, and conditions, and provide advice accordingly.

The successful candidate will also be expected to:

• Advise faculty in the preparation and submission of proposals to a variety of sponsors in accordance with funding agency policies and the fiscal soundness of grant-supported centers.
• Collect required data in preparation of grant applications, renewals and grant reports.
• Prepare budgets specific to sponsor guidelines.
• Ensure proper setup and oversight of internally funded grants.
• Contact sponsors when there is a need for clarification on policies and procedures for grant preparation.
• Coordinate and review effort reporting.
• Conduct direct negotiations on behalf of the University with external sponsoring agencies.
• Supervise and train rising professionals in the grants and contracts arena.
• Perform fiscal reconciliation of grant accounts with a view towards compliance with sponsor requirements.
• Monitor grant expenditures for deviations from the budget plan regarding OTPS costs as well as personnel costs and effort commitments.
• Manage internal service provider and external vendor ordering on sponsored accounts.
• Work with Finance Associate to manage travel on sponsored accounts.
• Manage P-Card expenditures on sponsored accounts.
• Manage sub-recipient invoicing on sponsored accounts and in coordination with the PIs.
• Perform sub-recipient monitoring.
• Assist faculty with progress reports, change requests, No Cost Extension requests, and award closeout.
• Resolve post-award issues through contact with internal University personnel, external collaborators, and/or sponsor personnel and recommend appropriate changes and/or solutions.
• Assist in gathering and managing selected proposal documents such as faculty biosketches, facilities descriptions, and similar.
• Assist in tracking documents to be signed (non-disclosure agreements, IP releases, and similar)
• Provide compliance and technical assistance to faculty and other stakeholders regarding sponsor regulations and award terms and conditions.
• Maintain complete and accurate grant fiscal records and manage the process for storing them and their timely destruction per sponsor and University guidelines.
• Attend meetings, institutional and/or industry training/conferences to keep skills and knowledge up to date on sponsor regulations, university policies, and emerging technologies.
• Work collaboratively with the Division Administrator to provide annual grant budget information necessary to achieve goals and provide a realistic view of the projected cost of operations.
• In addition to the above job duties, other duties may be assigned.

Qualified candidates must have:
Education: Bachelor's degree
Experience: Five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree. Relevant experience may be considered in lieu of a degree. Seven years of experience is preferred. Experience includes: previous work experience with award sponsors such as NIH, industry, foundations, training grants, and private philanthropy. Experience with both pre and post-award grant administration.

Licensure: Certified Research Administrator (CRA) certification is preferred.

PHYSICAL DEMANDS:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This position is located in Charlottesville, VA. This position offers a flexible hybrid workplace, providing a balance of in-person and remote; in some instances, 100% remote work will be considered.

The anticipated start date is May 1, 2022. This position is a restricted position and is dependent upon project need, availability of funding and performance.

Anticipated Hiring Range: $69,000 - $80,000 annually, commensurate with education and experience. This is an exempt-level, benefited position. For more information on the benefits at UVA, visit hr.virginia.edu/benefits.
